Book a client from inside a case

Updated by Marcus

You can now schedule an appointment for a client from inside their case, at any point in the case and as many times as you need.

Overview

Sometimes you need to meet with a client between steps. For example, you might set up a document prep appointment to collect missing paperwork before filing. Book client on the case summary lets you schedule that appointment without leaving the case.

The appointment is linked to the case but not to any workflow step. Booking it, holding it, or skipping it won't complete a step or start a new case.

How it works

  1. Open the case: Go to the client's case. The case summary panel is on the left.

  2. Find Bookings: Scroll down to the Bookings section. It appears on every case, even one with no appointments yet.

  3. Click Book client: The booking dialog opens and the client is already filled in from the case.

  4. Pick a service: Choose any of your firm's consultation services.

  5. Add a note (optional): The note is internal, so the client doesn't see it. It's saved to the case's notes.

  6. Select a time: Choose an open time slot.

  7. Create the booking: The appointment appears under Bookings on the case summary.

Key details

  • No limit on bookings. Each one is a new appointment. Booking again never moves or replaces the client's existing appointments.

  • Not tied to a step. These appointments don't count toward step progress, so the case's workflow stays where it is.

  • Each booking shows its service. Rows under Bookings show the time and service, plus "Canceled" or "Skipped" when that applies.

  • No charge. Booking from a case doesn't charge the client, even for a paid consultation service.

  • No address or county prompt. The client comes from the case, so the dialog doesn't ask for their address or county.

FAQ

Q: How is this different from pressing B to open the booking wizard?
A: The general booking wizard doesn't link the appointment to the case you're viewing. Book client always books onto the current case.

Q: Will booking an appointment move my case to the next step?
A: No. Appointments booked with Book client aren't connected to any step, so they never complete one.

Q: Can I book the same client more than once?
A: Yes. Each booking creates a new appointment.

Q: Where does my note go?
A: It's saved as an internal note on the case, and the client can't see it.
