Scheduling a one-time payment for a later date

Scheduling a one-time payment for a later date

You can set up a single payment on a client's invoice to be charged on a future date, instead of charging it right away. This is useful when a client wants to pay on a specific day, such as their next payday.

Overview

When you pay an invoice for a client, you can choose to charge now or schedule for later. A scheduled payment charges the client's card or bank account once, on the date you pick, at 12:00 PM in your firm's time zone. Nothing is charged until then.

This is different from a payment plan, which charges a client automatically on a repeating schedule. See Setting up a payment plan if the client needs to pay over time.

How it works

  1. Open the invoice. Go to the client's case and open the invoice.

  2. Select Pay for client.

  3. Choose how much to charge. Choose Pay in full, or choose Custom amount and enter an amount (for example, $250). Custom amounts are only available if partial payments are turned on for the invoice.

  4. Choose when to charge. Under When to charge, select Schedule for later. (Charge now charges the payment as soon as you confirm it.)

  5. Pick the payment date. Choose a date after today and up to 6 months out. Glade shows the time the payment will be charged, for example "The payment will be charged at 12:00 PM PDT on the date you pick." Select Next.

  6. Choose a payment method. Select the client's saved debit card, credit card or bank account (ACH), or add a new one. A new card or bank account is saved to the client so Glade can charge it on the scheduled date.

  7. Review and schedule. The summary shows Scheduled for with the date and time, and notes that nothing is charged today. Select Schedule $X payment.

The payment now appears in the invoice's Upcoming payments tab with the status Scheduled.

Key details

  • Charge time: scheduled payments run at 12:00 PM in your firm's time zone on the scheduled date.

  • Nothing is charged early. The invoice balance doesn't change, and no payment is recorded, until the payment is charged on its date.

  • The case waits for the payment. If a step in the case waits for this invoice to be paid, the case won't move forward until the scheduled payment goes through. If you need to move the case forward sooner, you can advance the step by hand.

  • Changing a scheduled payment: you can't edit one. Cancel it and schedule a new one.

  • Canceling: in Upcoming payments, open the payment's menu and select Cancel scheduled payment. You can cancel until the charge starts on the scheduled date.

  • Limits: the total of all scheduled payments on an invoice can't be more than the balance due.

  • Automatic cancellation: Glade cancels a scheduled payment if the invoice is voided or paid in full first, or if the case is archived or deleted.

  • Your client isn't notified when you schedule a payment. Let them know the date and amount yourself.

FAQ

Q: What time will the payment be charged?
A: At 12:00 PM in your firm's time zone on the date you picked. Glade shows the exact time, with the time zone, when you choose the date.

Q: Can I schedule a payment for today?
A: No. To charge the client today, choose Charge now. Scheduled payments must be for a date after today.

Q: What happens if the payment is declined?
A: It shows as a failed payment under Recent payments on the invoice. Glade doesn't retry it automatically. Check the payment method with your client and schedule a new payment.

Q: Can I schedule more than one payment on the same invoice?
A: Yes, as long as the total scheduled doesn't exceed the balance due.

Q: How is this different from a payment plan?
A: A scheduled payment is charged once. A payment plan charges a set amount on a repeating schedule until the invoice is paid in full.
