Updating a Client's Invoice After a Workflow Has Started (Glade 2.0)

If you need to make changes to a client's invoice after their workflow is already underway, you can do this directly from the workflow — no need to start over.

Overview

Sometimes an invoice needs adjusting after a workflow has been initiated — maybe the payment methods need to change, a payment plan needs to be added, or you need to bill for an additional service. Glade lets you make these corrections without disrupting the client's existing workflow.

How It Works

  1. Open the client's workflow: Go to the client's workflow and click View.

  2. Start a correction: Click the three-dot menu (More Actions), then select Make a Correction. Confirm the prompt to proceed.

  3. Update payment methods: Check or uncheck the allowed payment methods on the invoice as needed.

  4. Pass along payment processing fees (optional): Check the box to pass credit card or payment processing fees to your client, then click Save.

  5. Adjust payment plan settings: If a payment plan wasn't enabled originally, you can turn it on here. This section controls the payment plan settings — it's NOT where you'd change the terms of an existing payment plan.

  6. Turn on payment notifications (optional): Enable notifications so your team is alerted whenever the client makes a payment.

  7. Update line items: If the invoice total doesn't reflect everything you need to bill, click Add Line Item, enter a description (for example, "Credit Counseling Certificate") and the amount, then click Save.

  8. Save the correction: Click Save Correction to apply all your changes. The invoice will regenerate with your updates.

  9. Verify the changes: Click Show Invoice to confirm everything was applied correctly, including any new line items.

  • Corrections can be made at any point after a workflow has been initiated — you don't need to restart the workflow.

  • Changes to payment methods, fees, payment plans, and line items are all made from the same correction screen.

  • Always verify the invoice after saving to confirm your changes went through as expected.

FAQ

Q: Can I add a payment plan to an invoice that didn't originally have one?
A: Yes. The payment plan setting is available in the correction screen even if a plan wasn't enabled when the invoice was first created. To change the terms of an existing payment plan, you'll need to do that elsewhere (not from this correction screen).

Q: Will my client be notified about the corrected invoice?
A: If you've enabled payment notifications for your team, you'll be alerted when the client pays — but check your notification settings to confirm what's sent to the client directly.

Q: Can I bill for something that wasn't on the original invoice?
A: Yes, use Add Line Item to include a description and amount for the additional charge, then save.
