Ask for a document upload on a questionnaire question
You can now have a questionnaire question ask your client for a document right where they answer it — for example, "Upload your latest mortgage statement" under the mortgage question. The client uploads without leaving the questionnaire, the file lands on the case, and Glade AI reviews it like any other upload.
Overview
Turn on Ask for a document upload for a question in your questionnaire template. Clients then see a blue upload card under that question in Glade 2.0. Every file uploaded this way goes into a single Triage folder on the case's document checklist, and AI checks it against what you asked for. If the AI has already filled the answer from a document the client sent earlier, the client isn't asked again.
How to Set It Up
- Open your questionnaire template in the template editor and select the question.
- Go to the Document uploads tab in the field editor.
- Turn on Ask for a document upload.
- Fill in the settings:
- Document name (optional — falls back to the question's label). Shown to the client, and used by AI to check the file.
- Description — instructions for the client. AI uses these too.
- Is required — whether the client should be flagged if they haven't uploaded it.
- Show the upload when (optional) — only ask for the upload when certain answers are given.
- Publish the template as usual.
Nothing changes on existing templates until you turn on an upload for a question.
What Your Client Sees
- A blue upload card sits right under the question's label. In a list (for example, properties or vehicles), the upload is asked once per entry and the entry's upload cards sit together at the top of that entry.
- Clients can drag and drop a file, browse for one, or tap Take photo (opens the camera on a phone, or a webcam window on a computer).
- PDF, JPG, or PNG up to 25 MB, one file per upload. Once a file is in, they can Replace or Remove it.
- After uploading, the card shows Uploaded and a Glade AI review tag: Evaluating, then Approved, Needs review, or AI review unavailable. Needs review means the file may not be the right document, and the client can replace it.
- Documents that already filled the answer show under Used to fill this answer and count as the upload.
Key Details
- One Triage folder per case. All questionnaire uploads on a case land in a Triage folder on the document checklist. Glade creates it the first time it's needed and sends no checklist or file-uploaded emails, and creates no tasks. Staff can move a file into another request and the question still recognizes it.
- Data goes to the right list entry. A mortgage statement uploaded under one property fills in that property, as long as the document fits the list. Manual edits on the entry stay protected.
- Required uploads are advisory, not blocking. A missing required upload shows "Upload the requested document" and a Document upload required finding in the pre-submit review, but the client can still submit.
- Upload status carries over when a questionnaire is upgraded to a new template version, reverted, or restored from a snapshot.
- Tables and page breaks can't have an upload. Table cells tell the client to open the entry to upload.
Limitations
- The upload card appears in Glade 2.0 questionnaires. The classic Glade questionnaire view doesn't show it.
- Clients can't preview their uploaded files in the portal yet; staff can preview them in Glade.
- Reloading or closing the tab mid-upload loses that upload.
- If one list entry has several files, Replace swaps all of them.
FAQ
Q: Will clients get an email when they upload a document from a question?
A: No. Questionnaire uploads don't trigger checklist or file-uploaded emails, and they don't create tasks.
Q: Where do I find the files?
A: In the Triage folder on the case's document checklist. You can move them into another request; the question still counts them.
Q: My client already sent their mortgage statement through a document request. Will they be asked again?
A: Not if Glade AI already used that document to fill the question's answer. It shows under "Used to fill this answer" and counts as the upload.
Q: Can a missing required document stop the client from submitting?
A: No. It's flagged in the review so your team can follow up, but it never blocks submission.
