How AI Document Renaming Works in Glade

 1. Understand what AI document renaming does 0:00

  • Glade can automatically suggest clear, descriptive file names for documents uploaded by clients.

  • This helps reduce manual renaming and saves time organizing case files.

  • Instead of generic names like image, scan, or that.pdf, Glade AI uses the document contents to generate a more useful name.

2. Know when renaming happens 0:24

  • When a client uploads a document to a document request, Glade AI analyzes the file.

  • It then suggests a professional file name based on what the document appears to be.

  • Example suggestions mentioned in the Loom include names like 2026 tax return or certificate of counseling - [last name].pdf.

  • Renaming is separate from submitting the document for review, so files can be renamed at any time.

3. Open a document request and view uploaded files 0:58

  • In the example account, the user opens a Chapter 13 case and views the client document checklist.

  • A file has already been uploaded to the request.

  • The file shown in the demo is just a screenshot, used as an example of what appears in the file list.

4. Use AI to rename files 1:17

  • Click Rename Files with AI to generate suggested names.

  • Glade will attempt to rename based on the document content.

  • If the uploaded file does not match the expected document type, the suggestion may not be accurate.

  • In the demo, the screenshot file is not a good match for the intended document, so the AI naming result is not useful.

5. Review, edit, and approve the suggested names 1:54

  • Once Glade generates names, you can review them before applying.

  • You can approve names individually or approve all at once.

  • You can also edit the suggested names manually if needed.

  • Approved names can be reused, making future organization easier.

Key Details

  • Who can rename: Only law firm users (creators) see the rename button. Clients do not see it.

  • Non-destructive: Renaming files does not submit the document request for review. Submission remains a separate step.

  • Smart suggestions: The AI uses the actual contents of each document — not just the filename — to generate relevant names. It identifies document types, dates, and names when available.

  • File extensions preserved: The original file format is always maintained (e.g., a .pdf stays a .pdf).

  • Re-run anytime: You can run the AI rename as many times as needed. New suggestions will be generated each time.

  • Graceful handling: If the AI can't generate a suggestion for a particular file, it simply won't suggest a rename for that file — no errors or interruptions.

FAQ

Q: Will renaming a file submit my document request?
A: No. Renaming and submitting are completely independent actions. You can rename files without submitting, and submit without renaming.

Q: Can my clients see or use the AI rename feature?
A: No. The "Rename files with AI" button is only visible to law firm users, not to clients who upload the documents.

Q: What happens if I don't like a suggested name?
A: You can edit any suggestion before approving it, or simply skip files you don't want to rename.

Q: Does the AI rename work on all file types?
A: Yes — it works on PDFs, images, and other uploaded document types. The AI analyzes the content of the document to generate its suggestion.

Q: Can I undo a rename?
A: There's no automatic undo, but you can manually rename any file at any time, or re-run the AI rename to get new suggestions.
