AI Document Renaming

Glade can automatically suggest clearer, more descriptive names for documents uploaded by your clients — saving you time organizing case files and reducing manual renaming.

Overview

When clients upload documents to a document request, Glade's AI analyzes each file and suggests a professional, descriptive filename based on the document's contents. Instead of receiving files named things like "IMG_4021.jpg" or "scan_feb2026.pdf," you'll see suggestions like "2024 Tax Return - Smith.pdf" or "Certificate of Counseling - Johnson.pdf."

You can review, edit, and approve the suggested names individually or all at once — and renaming is completely separate from submitting for review, so you can rename files at any time.

How It Works

Renaming All Files at Once

  1. Open a document request that has uploaded documents from your client.
  2. Click "Rename files with AI" — this button appears whenever at least one document has been uploaded.
  3. Review the suggestions — a modal will show each file with its current name and the AI-suggested name side by side. Suggestions are grouped by document category.
  4. Approve or edit names — you can:
    • Click Approve all to accept every suggestion at once
    • Approve suggestions one at a time by clicking the checkmark on each card
    • Edit any suggestion before approving it
  5. Apply the renames — once you're satisfied, apply the changes. File names are updated immediately.

Renaming Files Individually

  1. Open an individual file within a document request by clicking on it.
  2. Click "Rename files with AI" in the file detail view — this will only show suggestions for documents in that specific folder.
  3. Review and approve the suggestion, then apply.

Already-Renamed Indicator

If a document's current name already matches the AI suggestion, you'll see an "AI suggestion applied" indicator instead of the rename option — so you can tell at a glance which files have already been renamed.

Key Details

  • Who can rename: Only law firm users (creators) see the rename button. Clients do not see it.
  • Non-destructive: Renaming files does not submit the document request for review. Submission remains a separate step.
  • Smart suggestions: The AI uses the actual contents of each document — not just the filename — to generate relevant names. It identifies document types, dates, and names when available.
  • File extensions preserved: The original file format is always maintained (e.g., a .pdf stays a .pdf).
  • Re-run anytime: You can run the AI rename as many times as needed. New suggestions will be generated each time.
  • Graceful handling: If the AI can't generate a suggestion for a particular file, it simply won't suggest a rename for that file — no errors or interruptions.

FAQ

Q: Will renaming a file submit my document request?
A: No. Renaming and submitting are completely independent actions. You can rename files without submitting, and submit without renaming.

Q: Can my clients see or use the AI rename feature?
A: No. The "Rename files with AI" button is only visible to law firm users, not to clients who upload the documents.

Q: What happens if I don't like a suggested name?
A: You can edit any suggestion before approving it, or simply skip files you don't want to rename.

Q: Does the AI rename work on all file types?
A: Yes — it works on PDFs, images, and other uploaded document types. The AI analyzes the content of the document to generate its suggestion.

Q: Can I undo a rename?
A: There's no automatic undo, but you can manually rename any file at any time, or re-run the AI rename to get new suggestions.
