Documents Triage and Checklist Folders

https://www.loom.com/share/82e05c2883144965a7b801ac8c0cb744

Drop documents into Documents Triage and Glade AI routes each one to the right checklist item for you. The Documents tab also shows every active checklist as a folder, so you can see at a glance what's still missing.

Overview

Every case has a Documents Triage card at the top of its Documents tab. It's a single place to put any document a client sends you — by email, by text or on paper — without working out where it belongs first. Glade AI reads each document and moves it to the matching item on the case's document checklists. For example, a mortgage statement goes to Mortgage Statement and a vehicle registration goes to Vehicle Registration Cards.

Documents your client uploads from their questionnaire also arrive in Triage and are routed the same way.

How It Works

  1. Open the case's Documents tab. Documents Triage sits at the top, above the case's folders.

  2. Add documents to Triage. Drag files onto the drop area, or click Upload to pick files from your computer. You can add several at once.

  3. Watch Glade AI route them. While Glade AI reads a document, its row shows Routing with Glade AI…. This usually takes under a minute. The document then moves to its checklist folder on its own, with no need to refresh the page.

  4. Check anything left in Triage. If Glade AI isn't confident where a document belongs, it leaves it in Triage. Open the document to see why, then move it yourself or leave it there.

  5. Move documents yourself. On any document in Triage, open its row menu (⋯), choose Move to, and pick a checklist item.

  6. Review the history. Click the history button on the Triage card to see everything that's happened in Triage.

Checklist Folders

Every active document checklist on the case shows as a folder in the Documents tab, even before anything has been uploaded to it. Each requested document that hasn't arrived yet is listed with a Not uploaded tag, so you can see what's still missing without opening the checklist.

Click a Not uploaded row to open that requested document, where you can upload a file to it directly. Once something is uploaded, the row is replaced by the real file.

The Triage History

The history button on the Triage card opens the Glade AI routing log, newest first. Each entry shows the document, what happened, who did it and when:

Key Details

  • Supported files: PDF, JPEG and PNG, up to 50 MB each.

  • Only your team sees Triage. Your client never sees the Triage folder or its history.

  • Glade AI is cautious. It only moves a document when it's confident. Anything unclear stays in Triage rather than going to the wrong place.

  • One document, one item. A single file that covers several requested documents — such as a pay stub and a bank statement scanned together — stays in Triage so your team can split it.

  • Move to only goes to checklist items. It doesn't go to other folders.

FAQ

Q: Why is a document still sitting in Triage?
A: Glade AI wasn't confident where it belongs, or the file covers more than one requested document. Open the document to see the reason, then use Move to to move it yourself.

Q: Glade AI routed a document to the wrong place. What do I do?
A: Open the document's row menu, choose Move to, and pick the right checklist item. Your move is recorded in the Triage history.

Q: Do I have to move documents out of Triage?
A: No. You can leave any document in Triage for as long as you need.

Q: Does my client see Triage?
A: No. Triage and its history are only visible to your team.

Q: Why don't I see a folder for one of my checklists?
A: Skipped checklists aren't shown. A checklist that has received every requested document shows its uploaded files instead of Not uploaded rows.

Q: Do I have to refresh the page to see a document move?
A: No. Documents move out of Triage and to their folder automatically.
