Zapier Integration
Zapier Integration
Send leads into Glade from web forms, call tracking, marketing tools, or spreadsheets — without Glade needing a separate connection for each one. A firm admin connects Zapier once in Settings, then any Zap can hand a lead over.
Overview
When a Zap delivers a lead, Glade creates a client (or matches an existing one), records where the lead came from, and files any call text as a transcript. New leads are not treated as active clients yet: they don’t get a portal invite, SMS enrollment, or broadcast emails.
How It Works
- Open Zapier settings: Go to Settings → Integrations and open Zapier. Only a firm administrator can connect or change the key; anyone at the firm can see whether it’s connected.
- Generate a connection key: Create a key for your firm. Copy it into Zapier right away — Glade shows the key only once when it’s generated.
- Copy the webhook details: Use the webhook URL and JSON example in the Zapier panel when you build your Zap.
- Map your lead fields in Zapier: Point your source’s fields at Glade’s lead details — first name, last name, email, phone, lead source, marketing source, contact source, opportunity source, notes, and (when you have one) a call transcript. You can optionally include a case/workflow and event identifiers.
- Turn the Zap on: Each delivery creates or updates a client at your firm and adds an internal note recording that the lead arrived through Zapier.
Key Details
- Matching: If the person already exists at your firm, Glade reuses that client instead of creating a duplicate.
- Attribution: Lead, marketing, contact, and opportunity sources are stored separately so campaign and channel stay independent.
- Transcripts: Call text is stored as a transcript (not pasted into a note). If the client has exactly one active case — or your Zap names the case — the transcript attaches there; otherwise it stays on the person.
- Retries: If Zapier sends the same lead twice, Glade keeps one client and one transcript.
- Key safety: Regenerating or disconnecting immediately invalidates the old key. Update your Zap with the new key, or deliveries will fail.
- Inbound only: Leads come into Glade through Zapier. Glade does not send data back out to Zapier.
- Source spellings: Source values are stored as your Zap sends them. Agree on consistent names with whoever builds the Zap so the same channel isn’t recorded several ways.
FAQ
Q: Who can set this up?
A: A firm administrator. Other team members can see that Zapier is connected, but only an admin can generate, regenerate, or revoke the key.
Q: Will new Zapier leads get portal invites or texts from Glade?
A: No. A lead is created quietly. Enroll them deliberately if you want to message them or give them portal access.
Q: What if I lose the connection key?
A: Generate a new one in Settings → Integrations → Zapier and update your Zap. The old key stops working immediately.
Q: Can I filter a report to only clients who came in through Zapier?
A: Each accepted lead adds an internal note that it arrived through Zapier. A dedicated report filter for Zapier-created leads is not available yet — use that note (and your source fields) when reviewing leads.
